Terms and Conditions

These Terms and Conditions apply when you use the Quietly Grounded website or book, buy or attend a Quietly Grounded service. Please read them before making a booking.
Quietly Grounded is operated by Maria Collins, a sole trader based in Worcestershire, England. References to “Quietly Grounded”, “I”, “me” or “my” mean Maria Collins trading as Quietly Grounded. References to “you” mean the person using the website, making a purchase or taking part in a service.

Nothing in these terms affects your statutory rights as a consumer.
1. Services covered by these terms
These terms cover Quietly Grounded services including:
- In-person and online mindfulness or meditation sessions.
- Group classes, workshops, courses, circles and community gatherings.
- One-to-one sessions.
- Introductory, training or assessment sessions.
- Class passes, blocks, memberships and subscriptions.
- Digital resources, recordings and other related content.
The description, date, time, location, price and any service-specific conditions shown on the booking page or in your confirmation form part of your agreement with Quietly Grounded.
2. Who can take part
Quietly Grounded services are intended for adults aged 18 and over unless a service is expressly advertised for a different age group and appropriate arrangements are in place.
You are responsible for deciding whether a service is suitable for you. If you are unsure, please contact hello@quietlygrounded.com before booking.
Quietly Grounded may decline or cancel a booking where a service is not considered suitable, where needs fall outside the scope of the service, where reasonable safety concerns arise, or where appropriate support cannot be provided. If Quietly Grounded cancels for one of these reasons before the service begins, any amount paid for the unused service will be refunded.
3. Important wellbeing and medical information
Quietly Grounded provides mindfulness and meditation teaching for general wellbeing, personal learning and community connection.
Quietly Grounded is not a therapy, counselling, medical, psychiatric or crisis service. Maria Collins does not diagnose or treat physical or mental-health conditions and does not act as your doctor, psychologist, psychotherapist, counsellor or other healthcare professional.
Mindfulness and meditation are not substitutes for medical advice, diagnosis, treatment, prescribed medication or professional mental-health support. No information provided through a session, resource, email, social-media post or the website should be treated as medical or therapeutic advice.
If you have a physical or mental-health condition, are currently receiving treatment, have recently experienced significant trauma or bereavement, or are experiencing acute distress, please speak to an appropriately qualified healthcare professional before taking part. You may also contact Quietly Grounded privately before booking to discuss whether a particular session is likely to be appropriate.
Do not stop or change medication or treatment because of anything discussed in a Quietly Grounded session.
Mindfulness can sometimes bring difficult thoughts, emotions, memories or physical sensations into awareness. You are always invited to make the practice your own: you may keep your eyes open, change position, pause, step outside or stop entirely. Please tell the teacher if you become uncomfortable or need support, but understand that Quietly Grounded cannot provide clinical or emergency care.
If you or someone else is in immediate danger, call 999 or go to Accident and Emergency. For urgent mental-health support in England, call NHS 111 and select the mental-health option. Samaritans can be contacted free, day or night, on 116 123.
No particular wellbeing, health or personal outcome is promised or guaranteed.
4. Relevant information and accessibility
You are encouraged to share any relevant accessibility needs, injuries, pregnancy, health considerations or other information reasonably needed to support safe and comfortable participation. You do not need to disclose a diagnosis or unnecessary medical detail.
Quietly Grounded will consider reasonable adjustments but cannot guarantee that every venue, format or practice will meet every need. Please make contact before booking if you require a particular adjustment.
Information about health, accessibility or wellbeing is handled in accordance with the Privacy Policy and, where required, with your explicit consent.
5. Making a booking
A booking is confirmed when:
- You complete the booking process and provide the required information.
- Payment is successfully received, unless another arrangement has been agreed in writing.
- You receive a booking confirmation from Quietly Grounded or the booking provider.
Please check your confirmation and report any error promptly. You are responsible for providing accurate contact information and for checking your email, including your junk folder, for joining instructions or changes.
Places are subject to availability. Adding a service to a basket or submitting an incomplete form does not reserve a place.
Bookings are personal and must not be resold. A booking may be transferred to another eligible person only with prior written agreement from Quietly Grounded and after any necessary participant information has been supplied.
6. Prices and payment
Prices are shown in pounds sterling and include any applicable taxes unless stated otherwise. The price displayed when you book is the price payable for that booking.
Payment is normally required in full at the time of booking. Where an instalment plan has been agreed, every instalment remains payable on the stated date. Failure to pay may result in suspension or cancellation of the booking or membership.
Payments are processed by secure third-party payment providers. Quietly Grounded does not store full payment-card details.
Any discount, introductory offer or promotional code is subject to the conditions stated with that offer and cannot normally be applied retrospectively or exchanged for cash.
7. Your right to cancel an online or distance purchase
UK consumer law may give you a 14-day right to cancel certain services bought online, by telephone or away from business premises. Some bookings for leisure activities supplied on a specific date or within a specific period may be exempt from that statutory cooling-off right.
Where a statutory cooling-off right applies, the cancellation period normally begins on the day after the contract is made. To cancel, email hello@quietlygrounded.com with your name and booking details before the period ends.
If you ask for a service to begin during an applicable 14-day cancellation period, you expressly request early performance. If you then cancel after the service has begun, Quietly Grounded may deduct a proportionate amount for the service already supplied. Once the service has been fully performed, your statutory cancellation right may be lost where you gave the required request and acknowledgement.
For digital content supplied immediately, you may be asked to expressly consent to immediate access and acknowledge that the statutory cancellation right will be lost once supply or download begins.
The cancellation arrangements below are offered in addition to any statutory rights that apply.
8. Cancelling or changing an individual session or drop-in class
This section applies to a one-to-one appointment, a single group session or a drop-in class unless the booking page states that the session is a special event governed by section 9.
- If you cancel at least 48 hours before the start time, you may choose a full refund or one transfer to another available date.
- If you cancel less than 48 hours before the start time, no automatic refund or transfer is due because the time or place may not be capable of being filled at short notice.
- If the place is subsequently filled by another paying participant, Quietly Grounded will refund the amount paid, less any payment-processing cost that cannot be recovered.
- If you do not attend and give no notice, the booking is treated as used and is not refundable.
If you need to cancel because of illness or an emergency, please make contact as soon as possible. Quietly Grounded may offer a transfer or credit as a gesture of goodwill, but this is discretionary and does not change the general policy.
Any agreed credit or transfer must be used within the period stated when it is offered. A booking may normally be transferred only once.
9. Cancelling a course, workshop, circle or special event
This section applies to multi-session courses, workshops, retreats, circles and other special events for which places, venue costs or preparation are committed in advance.
- If you cancel 14 days or more before the start date, you will receive a full refund.
- If you cancel between 7 and 13 days before the start date, you will receive a 50% refund.
- If you cancel less than 7 days before the start date, no automatic refund is due.
- If Quietly Grounded fills your cancelled place with another paying participant, the amount you paid will be refunded, less any non-recoverable payment-processing or third-party booking cost.
After a course or series has begun, missed sessions are not refundable and cannot normally be carried forward. If you withdraw from the remainder of a course, no automatic refund is due, although exceptional circumstances will be considered fairly and individually.
Where practical, Quietly Grounded may allow you to transfer the whole booking to another eligible person or move to a later course. This must be agreed in writing before the service begins and may be limited by availability, suitability, venue arrangements or work already completed.
10. Class passes and blocks
The number of sessions, validity period and any service restrictions for a class pass or block are shown when it is purchased.
Passes and blocks:
- Are for the named customer and may not be shared or resold.
- Must be used within the stated validity period.
- Do not guarantee a place in any particular session; advance booking may still be required.
- Are subject to the individual-session cancellation terms in section 8 once a place has been reserved.
If a booked session is cancelled too late or missed, the relevant credit may be deducted from the pass. Unused credits are not refundable after the applicable cooling-off period except where required by law or where Quietly Grounded permanently discontinues the relevant service.
11. Memberships and recurring payments
Where you join a monthly or other recurring membership:
- The price, included services and billing frequency are shown before purchase.
- Payment is collected automatically on each renewal date until the membership is cancelled.
- You may cancel through the account or booking system, or by emailing hello@quietlygrounded.com, before the next renewal payment is taken.
- Cancellation stops future renewals. Access continues until the end of the period already paid for unless otherwise stated.
- Partial refunds are not normally given for an unused part of a billing period, subject always to statutory rights.
- Failed or overdue payments may result in access being suspended.
Quietly Grounded may change a membership price or materially alter its included services by giving at least 30 days’ notice. If you do not wish to accept the change, you may cancel before it takes effect.
Quietly Grounded will not make cancellation unnecessarily difficult. If a membership is ended by Quietly Grounded for reasons other than your serious breach of these terms, any prepaid amount for a period after access ends will be refunded proportionately.
12. If Quietly Grounded changes or cancels a service
Occasionally a session may need to be changed or cancelled because of illness, low attendance, venue problems, severe weather, technical failure or another circumstance outside reasonable control.
Quietly Grounded may make reasonable changes to a teacher, venue, format or timetable where the overall service remains substantially the same. You will be told as soon as reasonably possible.
If Quietly Grounded cancels a service, you will be offered:
- A suitable alternative date or equivalent service; or
- A refund of the amount paid for the cancelled part of the service.
If a material change means you can no longer reasonably attend, please make contact promptly. Quietly Grounded will offer an appropriate transfer, credit or refund for the affected part.
Quietly Grounded is not responsible for separate travel, accommodation, childcare, lost earnings or other indirect costs you choose to incur in connection with a service. You are encouraged to use flexible arrangements where such costs are significant.
13. Late arrival and attendance
Please arrive or join online at the time stated in your confirmation. If you are late:
- A one-to-one session will normally still finish at the original time.
- Admission to a group session may be delayed or refused if entering would disrupt the practice or compromise safety.
- No refund is due for time or a session missed because of late arrival.
If attending in person, you are responsible for your own travel and for following reasonable venue rules. If attending online, you are responsible for a suitable device, internet connection and a private or appropriate environment.
14. Online sessions
Joining details are for registered participants only and must not be shared, published or used to allow an unregistered person to attend.
For privacy and safety, please use your own first name or another agreed identifier, keep your joining link secure and consider who may be able to see or hear your screen. Quietly Grounded cannot guarantee the privacy of your own surroundings or internet connection.
If a technical problem at Quietly Grounded prevents a substantial part of the session from being delivered, an alternative session, credit or proportionate refund will be offered. No refund is normally due where the problem is with your own equipment, connection or failure to join using the details provided.
15. Group privacy and confidentiality
Participants are expected to respect the privacy of others. Personal stories, names and identifying details shared in a group must not be repeated outside it without the person’s permission.
Quietly Grounded will handle information sensitively but cannot guarantee that another participant will keep group information confidential. Please share only what feels appropriate.
Confidentiality may be broken where Quietly Grounded reasonably believes that someone is at serious or immediate risk, where a safeguarding concern arises, where disclosure is required by law, or where information must be shared with emergency services or another appropriate authority.
16. Recordings, photographs and testimonials
You may not photograph, film, record or livestream a session or another participant without prior written permission.
Quietly Grounded will not make or publish an identifiable photograph, audio recording, video recording or testimonial without explaining its purpose and obtaining the appropriate permission.
Some clearly identified sessions may be recorded for teacher training or assessment. You will be told in advance, given relevant privacy information and asked for separate consent. You are free not to take part in a recorded session. Assessment recordings are shared only with the relevant assessor or training provider and are deleted in accordance with the information provided to participants.
17. Respectful participation
Quietly Grounded aims to provide a welcoming, inclusive and respectful environment. You agree to:
- Treat the teacher, venue staff and other participants with respect.
- Follow reasonable safety, privacy and participation instructions.
- Avoid harassment, discrimination, threatening conduct or deliberate disruption.
- Attend free from the influence of alcohol or non-prescribed drugs that could affect safe participation.
- Respect personal boundaries and not pressure anyone to speak, share or take part in a practice.
Quietly Grounded may refuse admission or require someone to leave if their conduct is unsafe, seriously disruptive, abusive or infringes another person’s rights. No refund is due where removal results from a serious or repeated breach of these terms.
18. Intellectual property
The Quietly Grounded name, website content, session materials, handouts, audio recordings, videos and other resources are protected by intellectual-property law unless stated otherwise.
Materials supplied to you are for your personal, non-commercial use. You may not copy, sell, publish, upload, teach from, distribute, adapt or commercially exploit them without prior written permission.
You may not record a live or online session or share paid digital content, account access or joining details with anyone else.
19. Website information and third-party links
Quietly Grounded takes reasonable care to keep website information accurate and current, but general wellbeing content is provided for information and education only. It is not tailored medical, mental-health, legal or other professional advice.
The website may link to third-party websites, social-media platforms, booking systems or payment providers. Quietly Grounded is not responsible for their availability, content or separate terms and privacy practices.
20. Responsibility and liability
Quietly Grounded will provide services with reasonable care and skill.
You remain responsible for your own choices, wellbeing, belongings and participation. Please follow reasonable instructions, work within your own limits and stop a practice if it does not feel appropriate.
Quietly Grounded is not responsible for:
- A particular result not being achieved.
- Loss caused by inaccurate or incomplete information you supplied.
- Loss arising because you ignored reasonable guidance or used a service in a way for which it was not intended.
- Loss of or damage to personal belongings, except where caused by a failure to use reasonable care.
- Loss that was not reasonably foreseeable when the contract was made.
- Business losses, loss of profit or loss of opportunity where you purchase as a consumer.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, breach of your statutory rights, or any other liability that cannot lawfully be excluded or limited.
21. Events outside reasonable control
Quietly Grounded is not responsible for delay or failure caused by events outside reasonable control, such as serious illness, extreme weather, transport disruption, venue closure, utility or internet failure, government restrictions or emergencies.
Reasonable steps will be taken to minimise disruption and offer an alternative where possible. If the service cannot be rearranged or provided, you will receive a refund for any part paid for but not supplied.
22. Personal information
Personal information is handled in accordance with the Quietly Grounded Privacy Policy. Cookies and similar technologies are explained in the Cookie Policy.
23. Complaints
If you are unhappy with a service, please email hello@quietlygrounded.com as soon as reasonably possible, explaining what happened and how you would like the matter resolved.
Quietly Grounded will acknowledge the complaint promptly, consider it fairly and aim to provide a substantive response within 14 days. If more time is needed, you will be told why and when to expect a response.
These terms do not restrict your right to seek independent consumer advice or use any legal remedy available to you.
24. Changes to these terms
Quietly Grounded may update these terms to reflect changes to services, technology, business practices or the law. The version that applied when you booked will normally continue to govern that booking, unless a change is required by law or is clearly beneficial to you.
The current version will be published on the website with the date it was last updated.
25. General legal terms
If any part of these terms is found to be unlawful or unenforceable, the remaining terms will continue to apply.
If Quietly Grounded does not immediately enforce a term, this does not prevent it from being enforced later.
No person other than you and Quietly Grounded has a right to enforce this agreement, except where the law provides otherwise.
These terms and any dispute or claim arising from them are governed by the law of England and Wales. If you live elsewhere in the United Kingdom, you also retain any mandatory protections and rights to bring proceedings available under the law that applies where you live.
